OPPORTUNITY PROFILE:

The Jamati Institutions for USA are seeking a part time (20 hours/week) Administrative Officer for ITREB for Southwestern United States.  The Administrative Officer will provide support to the Chairman, Honorary Secretary and Board members of ITREB SW and be available to support other Jamati institutions as needed.

 ESSENTIAL DUTIES AND RESPONSIBILITIES:

Responsibilities include, but are not limited to:

  • Maintain daily communication with various stakeholders through mail and emails
  • Respond to queries from Jamati members and local leaders
  • Maintain calendars for all ITREB events
  • Distribute local ITREB announcements
  • Update directory of Local Board, Staff, Jamatkhanas and Mukhi/Kamadia Sahebaans
  • Support the nomination processes for Jamati and Majalis Mukhi/Kamadia Sahebaan and local ITREB
  • Support New Admission process
  • Retain all original records of required documents (written, audio, and video)

Financial Management:

  • Handle accounts receivables/accounts payable
  • Assist with RE capital appropriation requests (CAR)
  • Manage REC finances and reimbursements
  • Manage Literature accounts from all Jamatkhana literature coordinators in the region

Logistics:

  • Manage programmatic logistics such as transportation, booking hotels, ordering refreshments and setup for all local ITREB related events including out of town delegates and Waezeen.
  •  Attend Local Board meetings (evenings or weekends) and provide administrative support for the meetings.

REC:

  • Collaborate with REC management teams for RE classes

QUALIFICATIONS:

  • A Bachelor’s Degree with at least 2 years of experience or High School Diploma with 5+ years’ experience.   
  • Excellent interpersonal, project management, and organizational skills
  • Proficient in Microsoft Office especially MS Excel and MS Word
  • Strong communication skills, analytical judgment, and ability to work in a team
  • Demonstrate persistence in overcoming challenges and removing obstacles to achieve intended results
  •  Ability to work with individuals from diverse backgrounds and of all ages
  •   Be able to work independently and without constant supervision
  • Flexibility in fast-paced environment
