The Administrative Assistant is an individual who is outgoing, draws energy from working with people, and is optimistic. They have a strong sense of urgency, but not at the expense of quality. In addition, they demonstrate the knowledge, attitude, skills, and habits of a high achiever. The Administrative Assistant is an individual who is committed to seeing the team achieve success. They are deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. They are a jack of all trades and willing and able to assist on projects of all types. The are focused on handling all needs behind the scene so that the agents can be focused on listing property, showing property, negotiating contracts & lead generation.

Essential Duties and Responsibilities

  • Greet clients, answer the telephone, and make follow-up calls

  • Provide customer service to new and existing clients as well as outside service providers 

  • Contact prospective clients and new leads via telephone, text and email to assist with or solicit their real estate needs 

  • Assist our clients with concierge level service and develop long lasting relationships

  • Database entry, setting up drip email campaigns, and mailing print letter communications.

  • Help set up and break down Team listings with staging, listing information, signs, lockboxes, etc

  • Check on Team listings and take photos of new construction projects around the County 

  • Support with other errands, pick up supplies, shipping items or tasks needed that arise

  • On occasion, attend client’s inspection and/or other walk-throughs as Agent support

  • Assist in contract needs as they arise such as obtaining quotes, entering information, setting up emails, filing documents, creating documents, sending gifts and more

  • Schedule showings and communicate showing information to clients

  • Assist at open houses and soliciting feedback

  • Assist with marketing/advertising projects, prepare and distribute marketing materials, content creation and social media posting 

  • Help to implement and manage all systems (paper and electronic) for buyers, sellers, lead generation, database management, information management, and back-office support

  • Prepare correspondence, schedule meetings, and make travel arrangements

Communications/Interactions 

  • Lead Agent – daily

  • Team Agents – daily

  • Director of Operations - daily

  • Buyers/Sellers/Vendors – as needed

Knowledge/Skills

Requirements

  • Reliable transportation in all seasons

  • Comfortable traveling within Summit, Park, Grand, and Lake Counties

  • Working Computer with Internet access (Microsoft Suite not required)

  • Working phone with camera

  • Ability to lift up to 50 pounds - occasionally

  • High School Diploma or equivalent work experience

Hours/Work Schedule

  • Weekly – Establish Schedule with Team Lead or Director of Operations to prioritize weekly tasks

  • As needed – Showing Scheduling, marketing projects, database management

  • Employee will work approximately 36 +/- hours per week. Schedule will be loosely set and flexibility is allowed when discussed

  • Weekend hours may be required from time to time. (Especially if interested in weekend hours)

  • Employee will be expected to turn in timesheets weekly

Compensation

Salary for this position is $40,000 annually. Plus potential for salary increase after the 90 day training period based on performance 

Employee is also eligible for bonuses based on sales performance. They shall be given a $200 bonus for any listings the team lead/listing agent takes and closes in excess for 15 per calendar year. They will also be given a $200 bonus for any buyer closings the buyer's agent has in excess of 15 per calendar year.

Employee will be eligible for sick pay: 1 hour for every 30 worked up to a maximum of 48 per year.

Employee will be eligible for 7 days of holiday pay. Holiday days will be selected per Calendar year based on traditional holidays.

Employee will be eligible for 2 weeks/80 hours of PTO after 1 year of employment. Any unused PTO can roll over up to a maximum of 80 hours annually. Any unused days in excess of 80 hours will be forfeited.

Employee will be eligible for a Cafe 125 Health Premium Reimbursement Plan after 1 year of employment.

Employee will be eligible for a SIMPLE IRA after 1 year of employment. Employer will match up to 3% of employee net pay when an employee makes a contribution of an equal or greater amount.
