Job Description:
The Sales Clerk is responsible for providing clerical support to the Inside Sales Manager. This includes but not limited to compiling data, computing fees and charges, and preparing invoices for billing purposes. Maintaining up to date customer sales tax exemption or resale certifications, assists with the processing of credit memos, and performs other related general functions when required.
Duties & Responsibilities: Verify accuracy of billing data and revise any errors. Prepare itemized statements, bills, or invoices and record amounts due for items purchased or services rendered. Perform bookkeeping work, including posting data or keeping other records concerning costs of goods or services or the shipment of goods. Operate typing, adding, calculating, or billing machines. Answer mail or phone inquiries regarding rates, routing, or procedures. Resolve discrepancies in customer account records. Type billing documents, shipping labels, credit memorandums, or credit forms, using company's computer software and Microsoft software. Contact customers to obtain or relay account information. Create and update spreadsheets that track daily invoicing details. Review documents such as purchase orders, sales tickets, charge slips, etc. to compute fees or charges due. Keep records of invoices and support documents. Gather and update sales tax information on customers. Consult sources such as rate books, manuals, or state department of revenue representatives to determine specific charges or information such as rules, regulations, or tax rate information. Track accumulated hours and dollar amounts charged to each customer's job to calculate fees for services performed on customer's site and/or in house. Answers phone system and directs calls accordingly when operator is at lunch or on break and/or on leave. Prepares sales reports weekly, Monthly, quarterly, and year-end, such as Monthly invoicing, Sales tax, sales tax exemptions, accounts receivable, and other related reports.
Qualifications & Responsibilities: High-School diploma or GED is required. Clerical - Knowledge of admin and clerical procedures and systems such as work processing, managing files and records, stenography, and transportation, designing forms, and other office procedures and terminology. Proficiency with computer-based software including Microsoft word, excel, and windows and the ability to learn in-house computer software. Knowledge of basic accounting procedures. Good communication both written & verbal. Organized and able to produce accurate results while meeting established deadlines. Ability to recognize and protect confidential information.
