Job Brief:
Payton Hogue Pets Services is a fast growing pet care and animal supply services brand and the Executive Director is seeking an Executive Assistant to manage a range of administrative assistance.

As Executive Assistant, you will manage forwarded mails with schedules and ensure obligations are fulfilled. You will also support in the high-level oversight of a rapidly growing pet hospitality portfolio by maintaining records and helping to follow up with requests from our partners and CPAs. This is a great opportunity for someone who can create orders from chaos.

The ideal candidate must be self-motivated and proactive, thrives on organization, structure, and efficiency, is meticulous with details and can excel in an environment that often requires multitasking. You must have great communication skills. The position requires someone who is intelligent, professional and smart with great work ethic. Secretarial experience would be very helpful but not necessary.

Workload will increase or decrease based on a variety of factors and there is no set schedule, but candidates must be prepared to dedicate about 12 hours per week to this opportunity. This position could feasibly be performed in addition to other commitments if sufficient flexibility and bandwidth exist so you can carry out your duties at your convenient time to meet up with the weekly deadline.

Please note that this position is not a typical 9 to 5 due to its full flexibility so you can choose a convenient time to complete your task. Prompt communication mostly via text messages, and adaptability is required for this position.

 

Job Responsibilities:

  • Provide administrative support to the executive team.
  • Work closely with the executive team, clients, other partners and manage the flow of information with accuracy.
  • Schedule meetings and contribute to their preparation.
  • Collect and organize data for documents to be reviewed by the executives and the board of directors.
  • Search information for composing emails, memos, and presentations for internal and external communication.
  • Manage office filling system and ensure confidentiality of sensitive information.
  • Oversee the complex administrative work that needs independent attention.
  • Take care of accommodation and travel arrangements and prepare travel expense reports.


Job Skills:

  • Proven experience in executive roles and as an assistant.
  • Excellent organizational skills, time management skills, and ability to work without constant guidance.
  • The capacity of giving amazing results even in a fast-paced and changing environment.
  • Decision-making capacity and good problem-solving skills.
  • Well-versed with MS Office Suite and other essential office gadgets.
  • Outstanding verbal and written communication skills.
