Job Description

POSITION SUMMARY

Working with the Principal and design staff, the Expeditor acts as administrative support for the purchasing and installation phases of high-end, residential interior design projects. The Expeditor coordinates with design teams to ensure that proposal packages are issued in a timely fashion and that all orders are created and placed accurately and expedited appropriately.  This position requires knowledge of Interior Design and a strong ability to organize information, manage time and documentation, and follow through on assignments under deadline pressure.

 

DUTIES AND RESPONSIBILITIES

  • Gather detailed information and quotes for preparation of accurate design proposals
  • Create and prepare proposals and proposal packages for submission to clients by design team
  • Prepare purchase orders for review by Senior Designer and/or Senior Project Manager prior to submission to accounting
  • Create and manage expediting schedules
  • Maintain updates to WIP report for invoice processing
  • Maintain continual communication in conjunction with Principal and design teams, regarding project timelines and orders
  • Track and coordinate all reserves, CFA’s and strike-offs, lead times, workroom inspections, deliveries, and installations
  • Correspond with Controller regarding invoicing
  • Assist the design teams with coordination of installations
  • Develop long-term relationships with clients, design showrooms and vendors
  • Maintain all order and quote project-related information in paper filing systems, electronic folders and Studio Designer
  • Training as necessary, to perform required job responsibilities
  • Daily time tracking and entry into Studio Designer

  

QUALIFICATIONS

  • Familiarity and working knowledge of the Interior Design Industry
  • At least three to five years of experience in high-end residential design
  • Administrative experience with purchasing process for high-end furnishings
  • Experience and comfort working in a dynamic, fast-paced environment
  • Proficiency with software & technical skills:  Studio Designer, Mac Applications, Office Suite
  • Excellent verbal and written communication skills

  • Must be detail-oriented, organized, accurate and consistent in all paperwork and data management
  • Strong creative problem-solving abilities, organizational and time management skills
  • Clear and concise communication skills, both verbal and written
  • Knowledge of and/or ability to learn Studio Designer quickly
  • Ability to interact with peers, management and other staff in a professional manner
  • Ability to work within a team and proactively create harmonious and professional relationships
  • Willingness to observe company policies, procedures, and the instructions of management

 

Location: East Bay (near Bay Bridge)

Hours: Full-time M-F 9am-5pm
