Key Responsibilities:

  • Review and audit employee expense reports for accuracy and policy compliance using expense management software (e.g., Concur, QuickBooks, Oracle).
  • Coordinate travel arrangements for field crews, including flights, hotels, and transportation, ensuring cost-effectiveness.
  • Reconcile corporate card transactions and resolve discrepancies to maintain financial accuracy.
  • Leverage strong Excel skills to analyze travel and expense data, identify trends, and recommend cost-saving opportunities.
  • Generate reports to support budgeting, forecasting, and audit requirements.
  • Act as a point of contact for employees, providing guidance on T&E policies and troubleshooting system issues.
  • Assist with audits by preparing detailed expense records and implementing process improvements.
  • Train field and office staff on expense reporting tools to ensure efficient adoption.

Qualifications:

  • 1-3 years of experience in travel and expense management, accounts payable, or financial analysis (no accounting degree required).
  • Advanced proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, data analysis); experience with expense management software (e.g., Concur) a plus.
  • Familiarity with ERP systems (e.g., Microsoft D365) or willingness to learn.
  • Strong attention to detail, problem-solving skills, and ability to manage priorities in a fast-paced environment.
  • Excellent communication and customer service skills to support field technicians and leadership.
  • Experience in industrial, construction, or energy sectors preferred but not required.
  • Knowledge of per diem policies or client billing is a bonus.
