HIRING: Project Coordinator Virtual Assistant

We are looking for a highly organized and detail-oriented Project Coordinator Virtual Assistant to support the day-to-day operations of a US-based custom signage company. In this role, you will coordinate projects, manage CRM records, support the sales team, and ensure seamless communication between clients and internal departments. Responsibilities

  • Manage and update customer records, opportunities, and tasks within the CRM.
  • Monitor incoming leads and ensure timely follow-ups.
  • Track project milestones and coordinate project timelines.
  • Prepare estimates, proposals, work orders, and other supporting documents.
  • Schedule appointments and coordinate meetings with clients and internal teams.
  • Respond professionally to customer inquiries via email and phone.
  • Coordinate communication between sales, production, and management teams.
  • Maintain organized digital files, contracts, invoices, purchase orders, and project documentation.
  • Follow documented workflows and standard operating procedures (SOPs).
  • Ensure projects, tasks, and customer communications are completed accurately and on time.

Qualifications

  • Previous experience as a Project Coordinator, Administrative Assistant, Virtual Assistant, or similar role.
  • Excellent verbal and written English communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • High attention to detail with strong problem-solving skills.
  • Experience using Google Workspace and Microsoft Office.
  • Comfortable learning and using cloud-based CRM systems.
  • Professional customer service and client communication skills.
  • Ability to work independently and manage multiple priorities.
  • Experience with GoHighLevel, HubSpot, Salesforce, Zoho, or similar CRM platforms is an advantage.
  • Experience in construction, manufacturing, signage, printing, or commercial services is a plus.

Compensation

  • $4-$5/hour
  • Full-Time and Part-Time opportunities available

Schedule

  • Monday to Friday
  • Night shift (US Business Hours)
