Position Overview:
The Bautista Group is seeking a proactive and highly organized Executive Assistant to support the CEO in managing multiple responsibilities and ensuring smooth daily operations. This role requires a strategic thinker who thrives in a fast-paced environment, is detail-oriented, and can manage competing priorities with professionalism and discretion.


Key Responsibilities:

  • Meeting Support: Take detailed notes during biweekly team meetings, ensuring accurate documentation and timely distribution.
  • Project Management: Track multiple projects and tasks, ensuring deadlines are met and progress is communicated effectively.
  • Email Management: Prioritize incoming emails, draft replies, and ensure timely responses to critical communications.
  • Calendar Coordination: Manage the CEO’s calendar, schedule appointments, and ensure alignment with priorities.
  • Scheduling: Coordinate meetings, appointments, and events across multiple time zones.
  • Gatekeeping: Serve as the primary point of contact for the CEO, filtering inquiries and requests.
  • Proposal Development: Assist in drafting, formatting, and finalizing proposals for clients and partners.
  • Statement of Work (SOW) Development: Collaborate with the CEO to create and refine SOWs for various projects.
  • Lead Qualification: Prepare for sales calls by qualifying leads, organizing materials, and briefing the CEO.

Preferred Skills & Nice-to-Haves:

  • Bookkeeping: Familiarity with basic accounting and bookkeeping tasks.
  • Entrepreneurial Operating System (EOS): Knowledge of EOS principles and tools is a strong advantage.

Qualifications:

  • Proven experience as an Executive Assistant or similar role, preferably in a dynamic and entrepreneurial environment.
  • Exceptional organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
  • Ability to work independently, anticipate needs, and take initiative.
  • Discretion and confidentiality when handling sensitive information.
  • Strong attention to detail and problem-solving skills.
