About the Role

Grapevine Media is hiring a Campaign Manager to pair with an Account Manager in a two-person sales pod. The Account Manager owns the relationship and brings in the business. The Campaign Manager owns everything that happens once a deal is agreed: paperwork, campaign setup, supplier and installation coordination, scheduling, reporting, and follow-through.

This role exists so our best relationship-builders can spend all their time selling, while nothing gets dropped on the backend. It is not a PA or admin-support role. The Campaign Manager sits on equal footing with the Account Manager, attends every client meeting, takes the minutes, owns the action items, and holds the pod accountable to what was actually promised. They are the check on the sale: detail-oriented, process-driven, and confident enough to challenge a compelling salesperson when a timeline or scope doesn't add up.

The pod wins or loses as a unit. The Account Manager's job is to sell. The Campaign Manager's job is to make sure what was sold actually happens, on time and correctly.

Core Accountabilities

•     Attend every client meeting alongside the Account Manager; take minutes and own the action item list

•     Convert verbal promises made in meetings into written scope, timelines, and confirmed deliverables before work begins

•     Own all campaign administration: contracts, briefs, artwork approvals, bookings, invoicing coordination, and supplier/installation scheduling

•     Track every live campaign from booking through to sign-off; flag risk before it becomes a client problem

•     Maintain accurate CRM records, pipeline data, and campaign trackers for the pod

•     Coordinate with Operations, Warehouse, Suppliers, and Installation teams to keep campaigns on schedule

•     Chase internal and external stakeholders proactively, without being asked

•     Reconcile what was sold against what was delivered, and flag any gap immediately

•     Handle client-facing admin communication (confirmations, timelines, status updates) so the Account Manager doesn't have to

•     Push back, professionally and firmly, on commitments made in the room that operations cannot actually support

Scorecard / Key Outcomes

1.    Campaign Delivery Accuracy — percentage of campaigns delivered exactly as sold, on time, with no rework

2.    Follow-Through Rate — meeting action items closed by their deadline

3.    Admin Turnaround — time from verbal agreement to signed scope/booking confirmation

4.    Client Retention (Pod) — retention and repeat business across the accounts this pod manages

5.    Escalation Quality — risks flagged early enough to fix before they reach the client

Required Skills & Experience

•     2–4 years in campaign coordination, account coordination, traffic management, sales administration, or operations coordination — ideally in media, advertising, or retail

•     Strong written communication: minutes, briefs, and client-facing confirmations that leave no room for misinterpretation

•     Advanced Excel/spreadsheet and CRM discipline

•     Comfortable in a room with a strong personality, and able to hold a position under social pressure

•     High attention to detail and low tolerance for loose ends

•     Able to manage multiple live campaigns and stakeholders at once without dropping anything

•     Confident saying no, or “not yet,” to clients and colleagues when something isn't ready

Interview & Assessment Process

•     Role-play exercise: a client meeting where the “Account Manager” over-promises on scope or timeline. Assess whether the candidate catches it, raises it in the room, and manages it afterward.

•     Written exercise: turn a messy verbal brief into a clean scope document with dates and named owners.

•     Reference checks should specifically probe follow-through, and whether the candidate has previously worked alongside a strong, dominant sales personality.

Working Hours

Standard office hours, with availability around campaign go-live dates.

Reporting Structure

Reports to the General Manager. Works in a paired pod with the Account Manager but does not report to them. This is deliberate: the Campaign Manager needs the standing to push back on the Account Manager when required, not the incentive to simply agree with them.

Compensation Structure

Base salary, commission earnings included.

Growth Opportunity

Proven Campaign Managers can move into senior campaign management, multi-pod oversight, or an Operations Manager path as the pod model rolls out across the sales team.
