Job Summary:
The Front Desk Executive plays a crucial role in the smooth functioning of an overseas education institute by serving as the first point of contact for students, parents, and other stakeholders. They are responsible for providing excellent customer service, managing inquiries, coordinating administrative tasks, and ensuring a positive experience for all visitors.
Key Responsibilities:
- Greeting and Welcoming: Warmly welcome students, parents, and visitors, and provide a friendly and professional first impression. Maintain a neat and organized front desk area.
- Inquiry Handling: Respond to inquiries from students and parents regarding study abroad programs, admission requirements, course information, scholarship opportunities, and other related queries. Provide accurate and up-to-date information and address concerns effectively.
- Appointment Scheduling: Manage appointment schedules for counselors and advisors. Coordinate with students and parents to schedule meetings, interviews, and information sessions.
- Administrative Support: Perform administrative tasks, including data entry, document management, filing, and maintaining student records. Assist with preparing and processing admission applications, enrollment forms, and other necessary paperwork.
- Phone and Email Communication: Handle incoming calls and emails promptly and professionally. Direct calls to the appropriate staff members and ensure timely responses to email inquiries.
- Visitor Assistance: Provide guidance and assistance to visitors, such as providing directions, recommending nearby facilities, and answering general questions about the institute and its services.
- Coordination with Internal Departments: Collaborate with the admission, counseling, and operations teams to ensure seamless communication and information flow. Assist in coordinating student appointments, meetings, and events.
- Student Orientation: Conduct basic orientation sessions for new students, providing them with an overview of institute policies, procedures, and available resources.
- Problem Resolution: Address and resolve student or parent complaints, concerns, or issues promptly and professionally. Escalate complex problems to the appropriate department or supervisor for resolution.
- Maintaining Professional Relationships: Foster positive relationships with students, parents, partner institutions, and other stakeholders to enhance the reputation and image of the overseas education institute.
Qualifications and Skills:
- Bachelor's degree in any discipline (preferably in a field related to education or international relations).
- Excellent verbal and written communication skills in English.
- Strong interpersonal and customer service skills.
- Proficiency in computer applications such as MS Office (Word, Excel, Outlook).
- Ability to multitask, prioritize, and handle a high volume of inquiries.
- Attention to detail and accuracy in administrative tasks.
- Knowledge of study abroad programs, universities, and visa processes is an advantage.
- Prior experience in a front desk or customer service role is desirable.
