Job Brief:
We are seeking an experienced and proactive Administrative Assistant to join our fast-growing technology company in Chandler. Our ideal candidate is a self-starter who is able to work independently, is resourceful, reliable, and can manage multiple tasks in a fast-paced environment. You will be responsible for providing administrative and clerical support to our team, including scheduling and coordinating client-facing appointments, managing office tasks, and providing call triage with a friendly attitude toward clients. You will also be responsible for data entry, filing, document preparation, coordinating marketing activities, processing client invoices, managing accounts payable/receivable, and ordering and managing office supplies and equipment. Responsibilities:
Handle all inbound & follow up calls. Triage support calls, schedule sales & follow up on pending issues
Triage inbound service tickets creating, merging, assigning & scheduling as needed by type & priority
Procurement, asset management, staging devices, deliveries & shipping
Maintain calendars, schedules and meeting reminders
Generate monthly reports for marketing, performance, assets, compliance, and executive meetings as needed.
Marketing assistance with social media, reviews, website, PR & client gift packs
Assist with miscellaneous company and seasonal activities (Birthday lunches, Team lunches, etc.)
Research and report on product and vendor specifications
Conduct quality assurance audits
Maintain a friendly and helpful attitude to ensure the best experience for our clients and team.
Skills Required:
Previous administrative experience
Some technical experience a plus
Proficiency in general computer skills and data entry
Strong written and phone communication skills
Organizational and time-management skills
Excellent communication and interpersonal skills
Proficient in Microsoft Office Suite and Google Suite
Familiarity with Freshbooks or other accounting software is a plus
Ability to multitask and prioritize tasks in a fast-paced environment
Detail-oriented and able to maintain accurate records
Strong problem-solving and decision-making skills
Ability to work independently and as part of a team

High school diploma, associate's or bachelor's degree in business administration or a related field is a plus
At least 2 years of experience in administrative support or a related field
